CLUBS HQ ACCEPTABLE USE POLICY

This Acceptable Use Policy ("AUP") governs all use of the Clubs HQ Platform, including profiles, avatars, messaging, club boards, event listings, uploaded artwork, and AI features. It is incorporated into the Master Terms of Service. Violating it may result in content removal, feature restriction, suspension, or termination.
1. Prohibited Content and Conduct
1.1 Illegal activity
You may not use the Platform to violate any law or regulation, to facilitate criminal activity, or to promote or coordinate illegal acts.
1.2 Intellectual property
You may not upload, post, or distribute content that infringes another party's copyright, trademark, patent, trade secret, publicity, or privacy rights. This applies with particular force to logos, mascots, team names, race and event names, and sponsor marks. Do not upload a collegiate, professional-sports, or well-known commercial mark unless you hold documented rights to use it. See the DMCA and Copyright Policy for the takedown process.
1.3 Harassment, hate, and abuse
Prohibited: harassment; threats; intimidation; stalking; hate speech or content attacking people based on race, ethnicity, national origin, religion, sex, gender identity, sexual orientation, disability, age, or veteran status; encouraging others to harass someone; and coordinated pile-ons.
1.4 Safety of people — location and physical harm
Because this is a platform where people meet in person and share where they run, the following are strictly prohibited and grounds for immediate termination:
- Using another person's location data, route history, activity times, or attendance records to follow, surveil, locate, ambush, or show up uninvited to them;
- Publishing, aggregating, or inferring another person's home address, workplace, school, or routine from Platform data;
- Doxxing — publishing anyone's private information (address, phone, employer, government ID) without consent;
- Creating an account or attending an activity for the purpose of contacting a person who has blocked you, or in violation of a restraining or protective order;
- Threatening violence, or organizing or promoting violence.
1.5 Minors and safeguarding
Prohibited absolutely: any sexualized content involving minors; grooming, solicitation, or sexual communication with a minor; requesting private contact or a private meeting with a minor you do not have a legitimate, disclosed relationship with; and requesting a minor's location, photos, or personal contact information. We report suspected child sexual exploitation to the National Center for Missing & Exploited Children and to law enforcement.
1.6 Self-harm, disordered eating, and dangerous practices
You may not promote, encourage, or provide instruction for suicide or self-harm; promote disordered eating, extreme caloric restriction, purging, or "cutting weight" practices; promote performance-enhancing drug use or provide sourcing information; or encourage training through injury, exercising with concussion symptoms, or other practices likely to cause serious harm. Discussing recovery, seeking support, and sharing lived experience are permitted.
1.7 Adult and graphic content
No sexually explicit content, gratuitous violence or gore, or content depicting cruelty.
1.8 Spam and commercial abuse
No unsolicited commercial messaging, multi-level marketing recruitment, chain messages, engagement farming, mass unsolicited club invitations, or off-platform payment solicitation designed to circumvent Platform fees.
1.9 Impersonation and deception
Do not impersonate any person, club, coach, brand, or Clubs HQ itself; misrepresent your credentials, certifications, insurance, or affiliation; falsify workout data or race results to gain standing on a leaderboard; or use a false identity to evade enforcement.
1.10 Platform integrity and security
Do not: upload malware or malicious code; attempt to gain unauthorized access to any account, system, or data; probe, scan, or test vulnerabilities without written authorization; circumvent authentication, rate limits, or access controls; conduct denial-of-service attacks; scrape or harvest data by automated means without written permission; reverse engineer the Platform; or resell, sublicense, or redistribute Platform access or data.
1.11 AI features
Do not attempt to circumvent AI safety guardrails; use the AI Coach to obtain medical, diagnostic, or emergency guidance (see Section 4 of the Master Terms); use AI output to provide professional services you are not qualified to provide; represent AI-generated content as human-authored where that matters; or use the Platform's AI to generate content that would violate this AUP.
2. User-Generated Images, Avatars, and Club Artwork
Uploaded images — avatars, club banners, logos, event graphics, and custom apparel artwork — must comply with this AUP and must not contain unauthorized third-party marks, explicit or violent imagery, hate symbols, or content misrepresenting an affiliation. You represent that you own or are licensed to use every element of what you upload. We may remove artwork and, where it has been used to produce physical goods, cancel the associated order.
3. Reporting Violations
In-Platform: Use the Report control on any profile, message, post, club, or event. Email: info@clubshq.us Child safety: info@clubshq.us with SAFETY in the subject line — prioritized. Copyright: info@clubshq.us (subject: DMCA) — see the DMCA and Copyright Policy. Emergency: If someone is in immediate danger, call 911 first. Then tell us.
We do not retaliate against good-faith reports, and we prohibit retaliation by other users. Deliberately false reports are themselves a violation.
4. How We Enforce
4.1 Our discretion
We may — but are not obligated to — monitor, review, remove, restrict, or refuse any content, and suspend or terminate any account, at our discretion. We are not a publisher of user content and do not pre-screen it.
4.2 Typical progression
Most violations follow a graduated path: warning → content removal → feature restriction → temporary suspension → permanent termination. Severity, intent, harm caused, and history determine where a case enters that ladder.
4.3 Immediate termination without warning
Reserved for: child safety violations; credible threats of violence; stalking or using the Platform to locate someone who does not want to be found; sexual exploitation; malware or serious security attacks; and repeat intellectual-property infringement.
4.4 Repeat infringers
We maintain and enforce a policy of terminating, in appropriate circumstances, accounts of users who repeatedly infringe intellectual property rights. See the DMCA and Copyright Policy.
4.5 Appeals
Any enforcement action may be appealed to info@clubshq.us (subject: Appeal) within 30 days. A person not involved in the original decision reviews the appeal, and we respond within a reasonable time. Appeals of child-safety terminations are reviewed but rarely reversed.
4.6 Referral
We may refer violations to law enforcement and will cooperate with lawful requests.
5. Clubs May Set Stricter Rules
Individual clubs may adopt supplemental rules for their own communities. Club rules may be stricter than this AUP but may never permit conduct this AUP prohibits.
6. Changes
We may update this AUP. Material changes take effect after 30 days' notice. The version and effective date above identify the operative version.
