HEALTH, FITNESS AND LOCATION DATA CONSENT

Version 3.2.0 | Effective July 22, 2026

This is a separate consent. You are not required to give it, and declining does not affect your ability to use the rest of Clubs HQ — you can still join clubs, message members, sign up for events, and manage your subscription.

Read the Consumer Health Data Privacy Policy before consenting. It describes everything we do with this data, and everything we promise never to do with it.

What you are being asked to allow

Each of the following is separate. You may enable any, all, or none, and you may change any of them later in Account Settings → Health and Location Data. All start on — turn off anything you don't want, at any time, and it takes effect immediately.

☐ 1. Collect my workout and fitness data

What: Distance, duration, pace, splits, cadence, elevation, calories, training load, and personal records — entered by you or synced from a connected service. Why: So you can see your history, track progress, and use training features. If you decline: You can still use the Platform; you just won't have workout tracking.

☐ 2. Collect my physiological data

What: Heart rate, resting heart rate, heart-rate variability, VO2 max estimates, sleep, and respiration — where your device or connected service provides them. Why: To power training-readiness insights and effort analysis. If you decline: Workout tracking still works; effort-based features will be unavailable.

☐ 3. Collect my precise location during activities

What: GPS coordinates recorded while you record an activity, forming a route trace. Why: To map your runs, calculate distance and elevation, and show routes. Important: A route trace can reveal where you live, work, and regularly go. Protections applied automatically if you enable this:

  • Privacy zones are turned on by default. We will ask you to designate at least one protected address and will hide your route within a radius around it (default 1/8 mile; adjustable).
  • Location is recorded only while you are actively recording an activity. We do not track you in the background.
  • Route traces are kept for as long as you keep them. We do not expire or delete them on a schedule — you can delete any of them, at any time, and they go straight away. If you decline: You can still log workouts manually with distance and time.

☐ 4. Connect my Garmin or COROS account

What: Authorize Garmin Connect or COROS to send your activity data to Clubs HQ. Why: So your runs appear here automatically and you don't have to enter them twice.

What connecting Garmin means specifically:

  • You will be taken to Garmin's own login and permission screen, where you choose what to share.
  • Data is transferred between Clubs HQ and Garmin, and Garmin's handling of it is governed by Garmin's privacy policy, which we link again at the moment you connect.
  • Activity data from Garmin appears in the Clubs HQ app with Garmin attribution, as Garmin's developer terms require.
  • We do not sell data received from Garmin, and we do not disclose it to anyone except as described in the Consumer Health Data Privacy Policy.

COROS works the same way through COROS's own authorization flow.

Disconnecting: stops future syncing immediately and withdraws this consent for that provider. Activities already synced stay in your history — they are yours, and we do not delete them behind your back. Delete any of them yourself at any time, or ask us to remove everything from that provider. Disconnecting from within Garmin or COROS has the same effect.

If you decline: record activities in the Clubs HQ app or enter them manually. Everything else works normally.

☐ 5. Share my health and fitness data with a coach I engage

What: Give a specific coach access to categories of your data that you choose. Why: So they can actually coach you. Controls: You choose the coach, you choose the categories, and you can revoke access instantly. Access ends automatically when the coaching relationship ends. Coaches are independent parties, not Clubs HQ employees, and are responsible for their own handling of your information. If you decline: You can still work with a coach and share information manually.

☐ 6. Publish my activities to club or public leaderboards

What: Display your name, activity results, and — if you separately choose — your route, to other members or publicly. Why: Community, competition, and club engagement. Important:

  • Privacy zones apply to any published route, but publishing a route always carries some risk of revealing patterns about where and when you run.
  • You choose the audience: nobody, your club only, or public.
  • You can remove any published activity at any time. If you decline: Everything else works normally.

☐ 7. Use my data to personalize AI Coach responses

What: Allow the AI Coach to read your workout and physiological data — including data synced from Garmin or COROS, if you connected them — when answering you. Why: So its suggestions reflect your actual training rather than generic advice. Important: The AI Coach is not a medical provider and does not give medical advice. See the AI Coach Terms and Health Disclaimer. If you decline: The AI Coach still works, using only what you type into it.

What we promise, in every case

  • We will never use this data for advertising or marketing.
  • We will never sell it or disclose it to data brokers.
  • We will never use it to train third-party AI models. Where our AI Coach processes your data to answer you, we describe how at clubshq.us/legal/ai-transparency.
  • We will never operate geofences around healthcare facilities.
  • We will delete it within 30 days of a verified request.

Withdrawing this consent

Go to Account Settings → Health and Location Data and turn off any item. Withdrawal is immediate and free, and does not affect any other feature. You may separately request deletion of data already collected. Withdrawing consent does not make prior lawful processing unlawful.

Acknowledgment

By enabling any option above, you affirm that you have read this consent and the Consumer Health Data Privacy Policy, and that you are giving specific, informed, voluntary, opt-in consent to the item you enabled. You understand you may withdraw it at any time.
